Data Deletion

Calceum Limited (“Calceum”, “we”, “us”) explains on this page how to have personal data we hold about you deleted. It covers data from every part of the Calceum service, including data we receive from third-party platforms such as Meta (Facebook, Instagram and WhatsApp) when you or your accounting practice use our integrations.

The quickest route

Email privacy@calceum.com from the address you want us to act on, with the subject “Data deletion request”. Tell us:

  • who you are (your name, and the practice you deal with or work at, if any);
  • what you would like deleted (everything we hold, or specific data such as messages sent to a practice through a social channel).

We will confirm receipt, verify the request, and respond within one month, as the UK GDPR requires. If we need identification to be sure the request is genuinely yours, we will ask for the minimum necessary.

If you contacted an accounting practice through Facebook, Instagram or WhatsApp

When you message an accounting practice through its connected social or messaging channels, or submit one of its lead forms, that practice is the controller of your data and Calceum processes it on the practice’s instructions. You can:

  • ask the practice directly - it can delete your record, and its instruction to us covers the copy in Calceum; or
  • email privacy@calceum.com - we will pass your request to the practice and assist it in completing the deletion.

If you connected your own accounts to Calceum

If you are a practice user who connected a Facebook Page, Instagram account or WhatsApp number to Calceum:

  • Disconnect in Calceum - the integration settings in the app let you disconnect a channel, which stops collection and removes the access tokens involved.
  • Remove the app at Meta - in your Facebook settings under “Apps and Websites” (or the equivalent Instagram and WhatsApp controls) you can remove Calceum’s access at any time.
  • Request deletion of stored data - disconnecting stops new data; to have already-stored data deleted as well, email privacy@calceum.com.

What deletion covers

On a verified request we delete the personal data we hold about you, including data received from platform integrations (for example message content, sender profile details, platform identifiers and lead form responses). Two limits apply:

  • Where the data belongs to a practice’s records, deletion follows the practice’s instruction, as described above.
  • We may retain data we are legally required to keep (for example accounting or anti-money-laundering records), and only for as long as that law requires. Anything retained stays protected as set out in the Privacy Policy.

We will tell you when the deletion is complete, and what, if anything, was retained and why.

Complaints

If you are not satisfied with how we handle a deletion request, contact privacy@calceum.com, and you also have the right to complain to the Information Commissioner’s Office (ico.org.uk).
